Executive

The executive committee oversee the governance of Warragul Youth Theatre ensuring that we operate effectively, meets our legal and financial obligations and our duty of care to young people.

Secretary

The secretary is Warragul Youth Theatre’s first point of contact. They keep the company organised and running smoothly through effective administration.

Key responsibilities and expectations:

  • Monitor the company’s mail and email.

  • Manage enquiries, correspondence and committee communications.

  • Take and distribute meeting minutes.

  • Maintain company records and the membership register.

  • Ensure the website updated and maintained

  • Act as the company’s Public Officer.

Treasurer

The Treasurer oversees Warragul Youth Theatre’s finances and assets and helps ensure financial sustainability.

Key responsibilities and expectations:

  • Manage a budget reflecting expected income and expenditure

  • Process payments, invoices and receipts.

  • Handle banking and financial administration.

  • Prepare monthly financial reports for the committee.

  • Ensure the company meets its financial reporting obligations.

President

As the leader of Warragul Youth Theatre, the president is responsible for setting the strategic direction and culture of the company and providing leadership to the executive, committee and production teams.

Key responsibilities and expectations:

  • Guide decision making and ensure the company is working towards its strategic goals

  • Chair committee meetings.

  • Represent the company at events, fundraisers and within the community.

  • Provide leadership and direction in setting the company’s policies and procedures

Vice President

The Vice President’s duty is to support the company President, as secondary leader.

Key responsibilities and expectations:

  • Assist the President in their duties.

  • Step in when the President is unavailable.

  • Chair meetings in the President’s absence.

  • Support the company in achieving its goals.

Office Bearers

These important roles ensure that Warragul Youth Theatre is successful, sustainable and safe for the young people we work with.

These positions may be held by members of the executive or the general committee.

Social Media Officer

Promotes Warragul Youth Theatre and connects with our community through social media.

Key responsibilities and expectations:

  • Manage and maintain the company’s social media platforms and pages.

  • Support the committee and production teams with content to promote productions, events and activities.

  • Engage with followers and respond to direct messages.

  • Monitor and report on social media performance.

Wellbeing Officer

Supports the wellbeing of Warragul Youth Theatre’s members, crews and production teams, by helping to create a positive and inclusive environment.

Key responsibilities and expectations:

  • Work with the committee to review and improve company policies that support wellbeing and inclusion,

  • Support production managers to oversee the wellbeing of members and crew.

  • Liaise with production teams on wellbeing matters.

  • Provide a safe and approachable point of contact for members and crew to discuss emotional wellbeing and mental health.

  • Help develop and facilitate wellbeing support strategies where needed.

  • Represent the committee in rehearsal and performance spaces.

Fundraising & Sponsorship Officer

Helps secure financial support and coordinate Warragul Youth Theatre’s fundraising initiatives.

Key responsibilities and expectations:

Organise and support fundraising activities and events with the assistance of the committee.

  • Prepare and submit grants

  • Build and maintain relationships with sponsors.

  • Manage company merchandise

  • Track and report on fundraising and sponsorship outcomes.

General Committee

General members contribute to the governance and success of the company by participating in committee decisions and supporting productions and events.

General Committee Members

General committee members can contribute their skills, ideas and time in many ways to ensure the success of Warragul Youth Theatre.

Key responsibilities and expectations:

  • Attend monthly committee meetings and contribute to decision making.

  • Support fundraising activities and events

    Supervision and or assistance during production weeks and school holiday programs and workshops.

  • Occasional supervision at rehearsals if needed

General Committee - Youth
(3 positions)

Warragul Youth Theatre deeply value the voices of the young people they exist to serve and celebrate. Three seats on the committee are reserved for young people aged 12 - 17.

Key responsibilities and expectations:

  • Attend monthly committee meetings and contribute to decision making.

  • Support fundraising activities and events

  • Provide ideas and feedback about company, shows and policies from a youth perspective

Youth committee members may wish to contribute to the operation of Warragul Youth Theatre in other ways such as volunteering as a production team member for show-in a-week, mentoring, or helping plan and facilitate events and activities.

While these contributions are welcome and encouraged they are not an expectation of the role of a general committee member
